Reservation Requests

Each event for which a reservation is made is placed into one of the following rental categories, which in turn determines the types and amounts of fees charged by Union Services.
Student Organization (SO)
SOs are student organizations which are recognized and approved by the Student Engagement and Leadership Center (SELC). All SOs must submit event requests to for approval. SOs do not pay for the use of Union facilities or equipment, but are responsible for incidental fees such as damage, cleaning, late cancellation fees and opening/closing fees, and extended hours fee. Events which are open to the general public will be charged at the Ãå±±ÂÖ¼é Rate (see below). Mine Tracker requests from SOs with outstanding fee balances will be denied. Damage to any Union facilities or equipment by members of an SO due to negligence or misuse will result in disciplinary action in addition to any financial liability.
Individual Student
Currently enrolled UTEP students may use the to request space in the Union Building or the EPNG Conference Center for academic activities such as thesis and dissertation projects, group study sessions, or research activities. Individual students may not host special events. This form is not for use by registered student organizations (see above). Requests must be received no later than two (2) weeks prior to the activity. All requests are subject to approval by Union Services.
Study Rooms
Need a room for a quick meeting, Zoom/Teams call, or just need a couple of hours to study before a big test? Stop by the Union Scheduling office, UNE 307, to reserve a room for a same day request. You must be enrolled for the current semester, and you will need your Student ID. Subject to room availability*.
*Small conference rooms only, take room as is, no change in setup and 2-hour maximum request. Computers may be used with student credentials. Student organizations must follow established process through Mine Tracker.
UTEP Department
Colleges, administrative departments, and professional organizations within the Ãå±±ÂÖ¼é may be required to pay for the use of certain Union Services facilities and equipment at the discretion of the Director of Union Services. Additionally, Ãå±±ÂÖ¼é departments are fully liable for any incidental fees incurred. Events which are open to the general public will be charged at the Ãå±±ÂÖ¼é Rate (see below). Ãå±±ÂÖ¼é Rate
Ãå±±ÂÖ¼é events which are open to the general public are charged at the Ãå±±ÂÖ¼é rate, regardless of which department or organization is hosting the event.
Non-Ãå±±ÂÖ¼é Rate
All events hosted by third-party entities must be reserved through and will be charged at non-Ãå±±ÂÖ¼é rates. Ãå±±ÂÖ¼é Events is responsible for making all reservations and arrangements with Union Services on behalf of the third party; Union Services cannot work directly with external entities. All costs and fees related to the event are billed to the Ãå±±ÂÖ¼é Events office, who in turn is responsible for billing the third party. If a non-Ãå±±ÂÖ¼é event is canceled and Union Services does not receive at least a 24-hour cancellation notice from Ãå±±ÂÖ¼é Relations, a cancellation fee and any incidental fees will be charged.
